An exciting opportunity has arisen for an experienced, highly skilled Finance
Director/Manager to join a local dynamic and passionate charity that delivers high quality
services assisting some of the most vulnerable people within our society. We are a forward-
thinking charity which is embarking on a path of growth and development, and this is an
interesting and challenging role which has responsibility for ensuring high standards of
financial management across a varied portfolio of activities at a time of expansion.
The successful candidate will be an enthusiastic and motivated individual with relevant
professional experience within a Finance and Office Facilities role, with a confident
approach to office systems and reporting. This role requires strong time management and
prioritisation skills in order to be effective.
We are a small team of specialists that possess a diverse set of skills, ranging from sports
programme facilitation to adult training and employment programmes. Our staff are drawn
from a variety of backgrounds, but we have one common purpose, to enrich the lives of the
communities that we serve.
The successful candidate will produce the day-to-day accounts and ensure the accurate and
timely entry of data and processing financial information within the financial reporting
QuickBooks software. The role will also involve the preparation of monthly management
accounts with written reports, and the submission of invoices, chasing outstanding invoices,
administer salaries and the preparation of reports, statistics and information for grant
funders as required.


Job Purpose
To work in conjunction with the CEO to provide a full and effective professional financial and
management daily/monthly/quarterly/annual accounting service in support of our Business Objectives.

Due to the sensitive nature of the role, the successful candidate will always ensure
professionalism and have the utmost discretion, tact and diplomacy when dealing with
highly sensitive matters.


Duties and responsibilities
To ensure the accurate and timely data entry and processing of financial information within
the financial reporting QuickBooks software in line with financial requirements, ensuring
costs are coded correctly at source.
Attend meetings internally and externally.
To produce monthly management accounts in a timely, accurate manner together with
written reports explaining variances so that CEO fully understands and is able to control the
income and costs within department areas.
Ensuring all relevant information is inputted on the ledgers, cashbook, petty cash system
and computerised QuickBooks accounts system to agreed procedures.
Processing the day-to-day accounts, including paying incoming invoices on time, checking
and processing invoices, preparing and submitting invoices, chasing invoices, checking and
processing monies received as necessary etc.
Provide finance information for the CEO with reports, statistics and information for
Managers, Trustees and Grant Funders as appropriate.
At all times act professionally and with discretion, tact and diplomacy, promoting
effective/relevant communication across the organisation.
Maintain financial records, and Excel spreadsheets where necessary, as per the charity’s
finance operating methods.
Administration of supplier invoices and payments, resolve queries with suppliers, seek
authorisation from budget holders, initiate BACS payments in line with credit terms and
setting up payment runs for approval.
Invoices are clearly and accurately filed in a timely manner.
Administer the monthly payroll process in conjunction with CEO, providing payroll to ensure
that employees receive their pay, and benefits are accurate and that the necessary
deductions are made.
Process Grant payments to clients /beneficiaries on a weekly and quarterly basis, ensuring
payment deadlines are met.
Liaise and be the contact person for our bank, building society, insurance, HR, accounts and
prepare bank reconciliations and month-end internal control reports.

Prepare cash flow statements to ensure enough funds are available for ongoing
expenditure.
Contribute to the preparation of monthly and annual budget forecasts.
The post holder will carry out any other duties as are within the scope, spirit, and purpose of
the job.
